Adding arrival windows to your service appointments helps set clear expectations and reduce uncertainty for your customers. An arrival window gives a specific range for when you or your staff are likely to arrive. This makes scheduling more predictable and improves the overall experience for both you and your clients.
Set Arrival Windows for All Services
The arrival window you set will automatically apply to all services by default.
To set an arrival window for all services:
- Open the platform.
- Click Settings.
- Click Booking Options.
- Click the Booking Policies tab.
- Under the “Arrival window” section, choose an arrival window time.
Set an Arrival Window for a Specific Service
If you'd like a different arrival window for a specific service, you can set one just for that service, separate from the default.
To create an arrival window for a service:
- Open the platform.
- Click Settings.
- Click Services.
- Next to the service, click the edit icon.
- Under the “Arrival window” section, choose an arrival window time.
- Click Save.
Set an Arrival Window for a Specific Appointment
You can also set a one-time arrival window for a specific appointment. Simply create the appointment first, and then you'll have the option to set the arrival window.
To create a new appointment:
- Open the platform.
- Click Calendar.
- Click Appointment List.
- Click New Appointment.
- Select the client(s).
- Select a service.
- Under the Arrival Window drop-down, choose an arrival window time.
- Click Schedule appointment.
FAQ
When someone books an appointment with an arrival window, will my calendar block off the whole arrival window or just the appointment time?
Your calendar will only block off the actual appointment time, not the whole arrival window. So, it’s okay for an arrival window to overlap with another appointment, even when someone books online.
I don’t see the arrival window on my calendar. Where can I find it?
The calendar only shows the actual appointment time. Just hover your cursor over the appointment or click on it, and you’ll be able to see the arrival window.
Can I edit an arrival window?
Unfortunately, you can’t edit an arrival window once it's set. If you need to make changes or forget to add it, you’ll have to cancel and reschedule the appointment.
How do arrival windows appear during online booking and on my calendar?
When customers book online, they’ll see the arrival window so they know the arrival time may vary. The arrival window also appears in confirmations and reminders. On your calendar, only the appointment time is shown, but you can hover over or click the appointment to view the arrival window details.
